ANALYSIS OF RECORDS MANAGEMENT IN UNIVERSITIES IN RIVERS STATE THROUGH ELECTRONIC DATABASE MANAGEMENT SYSTEMS
Abstract
This study analyzed records management through Electronic Database Management Systems (EDBMS) in universities in Rivers State. It sought to assess the level of security of electronically managed records, accessibility of information through EDBMS and to determine the extent to which EDBMS improves service delivery in the Universities. The study was guided by three research questions and three null hypotheses. The survey involved a sample size of 350 respondents, ranging from the three Universities in the state, consisting of 135 ITC /Exams and Records staff and 215 final year students. A structured questionnaire titled “Questionnaire on Electronic Records Management in
Universities in Rivers State (QERMURS)” was used as the instrument for data collection. The questionnaire contained twelve (12) items on a four point scale. It was validated by three experts and a reliability coefficient of .86 was obtained, which indicated that it was reliable for data collection. Data collected were analyzed using Mean and t-test. The three Hypotheses were accepted at 0.5 level of significance. The mean scores of 3.26 and 2.68 on table 2, 3.12 and 2.85 on table 3 and 3.06 and 2.79 on table 4 all indicate that both staff and final year students of the universities respectively, agree that to a high extent, management of records through EDBMS is secure, records are accessible and
that the system improves service delivery in universities in Rivers State. It is therefore recommended inter alia, that full computerization of universities’ records and provision of universities filing guide should be promoted to fortify data consistency, work proficiency and enhance service delivery.
